Executive Meeting of the proposed V-Con Society, held at the Burrard Motor Inn, Vancouver, B.C. on Friday, September 22nd, 2000 at 7:00 p.m.

In attendance: Steve Forty, Palle Hoffstein, Clint Budd, Jacqueline Passey, Garth Spencer, and eventually Andrew Brechin, Brian Dubberley, Chris Sturges.

Clint distributed an agenda with several topics for discussion and, if possible, action.

A Treasurer is needed for the V-Con Society, to have signing authority for the WCSFA/VCon 25 account and the Visa account. What is the final balance for VCon 25? (Chris?) No action taken.

Outreach was discussed for the V-Con Society, or the current VCon, to other local fan groups. Andrew Brechin has made overtures to the UBC SF Society and the UBC Pagans. Palle suggested that it may be bet for other fans and groups to see a VCon, then participate as they see fit. Jacqueline suggested instituting an Official Clubs Liaison. Clint and Andrew thought the following should all be contacted for future Vcon participation: the local SCA, TASC, the Camarilla, the Monster Attack Team Canada, the UBC wargamers, and the Bellinghamsters. (Garth spoke later with Andrew about his rather dated list of local clubs.) No action taken.

Clint asked Chris Sturges for a report on theupcoming VCon. As it now stands, the elusive Nico Iormetti has to provide a VCon 25 financial report, and a cosigned cheque to the Burnaby Radisson hotel for the upcoming VCon to secure its reservation. Chris reports that Nico's professional life has made him extremely busy recently and he has asked to step down from his con treasurer position. No action taken.

Palle was to make a report on the hotel liaison job. No action taken.

The second page of this agenda focused on duties of the V-Con Society Secretary. To a great extent this boils down to matters of the getting the word out: making sure the Society's minutes are published in all club newsletters (BCSFA's, and S'harien's, and TASC's, and whatever), and circulated by e-mail, and posted on the V-Con Society Web site (if and when), "and otherwise made accessible to V-Con Society members". Clint listed a few specific contacts for Garth, and the questions "What should it say? When should it be sent?" Clint distributed editions of the V-Con Society address lists, broken out for Canadian v. U.S., mail v. e-mail, and telephone categories. Discussion ensued on the practicality/desirability of telephone v. e-mail/ postal communication, the necessity to keep the list in its entirety within the executive and withheld from sale, the affiliated groups to contact, etc., etc. No action was taken, but a lot of ideas and comments were generated.

Clint had to leave before 8:00 p.m., and passed the gavel to Palle. Discussion moved to the direction or vision of the V-Con Society; e.g., where are we going? To just keep on holding V-Cons? To work up to holding another Westercon, or - dare we say it - bidding for a Worldcon? Or just toward securing a clubhouse? All members waxed loquacious (not just Garth). No action taken.

Palle added a couple of items for discussion. About affiliated groups to contact, should we keep a master list? And also, about potential guests, quite a lot of SF writers are not SFWA members; therefore, the SFWA Directory (and Speakers Bureau) don't provide a means to invite them. Discussion ensued on the need to ask other conrunners in the Northwest for their unrecorded notworking/contact information, and the fact that you don't necessarily know whom you can call to get contact information for the asking. No action taken.

Members present noted that not only VCon seed money, but practical hardware can be passed on to VCon 26, if we can contact Al Betz (and Steve Forty), and inventory the whole lot. It was mentioned that Chris Sturges has access to warehouse space for storage. No action taken.

Although this Society meeting made no decisions and took no official actions, the individual members shared some views and information, and resolved to take some individual actions. (Now let's see what actually happens ...)
