Regarding the action items, three were noted as not having yet been done:  Clint hasn't yet checked on the V-Con trademark, the $300 to Rick Smith is still outstanding, and the Fictons printing bill has not been received from Lisa Smedman.

Al wanted to know why the payment hadn't been made to Rick; Ed replied that he'd been busy setting up the new accounts.
The Van City account has been straightened out and signing officers are Ed, Clint and Lisa.  The Royal Bank account was emptied by means of writing a cheque for the total amount.  Ed reports that we have approximately $1340, less money owed (i.e. Fictons and Rick Smith).
The Lougheed Mall account situation still hasn't been clarified.
Ed emphasized that we are NOT operating in the black.  Our membership income is less than our expenses.  We are hoping to make money from the upcoming one day event (Science of Murder).

V-Con 21 members

27 people paid $20 for V-Con 21 (the actual fate of this money is a little uncertain pending clarification of the Lougheed Mall V-Con account).  It was agreed that these people be offered a $20 discount on the Science of Murder or their next WCSFA renewal or another upcoming event.  We would like to avoid giving out refunds.
Donna agreed to get in touch with these people by e-mail, mail or phone.

Donna suggested printing up WCSFA membership renewal notices on neon paper for insertion into BCSFAzine the month that people's memberships expire.  Alexis agreed to print 150 and give them to Graeme.

It was emphasized that a permanent phoning committee is needed, preferably with each person having 10-12 people to call.  Ed and Alexis volunteered.

Receipt Books

Ed asked for clarification of WCSFA receipt books.  There should be four, in the possession of Ed, Steve Forty, Lisa, and Graeme.  The importance of Ed and Graeme staying in touch to keep memberships up to date was emphasized.

 

The Science of Murder

Clint reported on the con's progress since Lisa was at home with the flu.  The Biltmore is booked, a contract signed, the banquet arranged (with food for everyone's needs).  Vicki is judging the anarchist scavenger hunt and a team from the writer's group is scripting the murder mystery.  Four guest speakers have been lined up, and they're good.
Clint said they budget is for 140 memberships maximum, 100 break-even.  He didn't know how many memberships had been sold; Ed agreed to check with Lisa and get the information.
Alexis has printed flyers and is distributing them.  It was generally agreed that a phone-around was urgently required.

Alexis and David are fixing their photocopier and have volunteered to produce BCSFAzine at cost (i.e. paper and toner).

 

Next Meeting

A WCSFA meeting was called for Friday, February 11, 8:00 at FRED.  The urgent agenda item will be a membership and financial report on The Science of Murder.
