W.C.S.F.A. EXECUTIVE MEETING
November 11, 1993 at Lisa Smedman's home

Called to order at 10:45 a.m.

                        Donna made a few comments on the Financial Report.
                        As outgoing Treasurer she recommended that WCSFA
                        make a payment of $300 to Rick Smith.  (see report)

Trademark            Clint raised the question of how often the V-Con             Clint
                        trademark needs to be renewed.  He will look into it.

Banks            WCSFA and its committees currently have 4 accounts:
  •  Royal Bank - WCSFA (opened this year)
         Signing: Clint, Donna, Evelyn Hildebrandt
  •  Van City Savings, W. Broadway - BCSFA
         Signing: Nico Ioremetti, Darryl Huiber, ???
  •  CIBC Lougheed Mall - under name of V-Con 17

  •  CIBC Lougheed Mall - Merchant VISA account
         Signing:  Steve Forty, ????

                        Our original intention was to consolidate these accounts
through the Royal Bank and close the others except for
the VISA, but we're unhappy with the Royal Bank's
service.  Clint phoned the Royal Bank and Van City and
got a much better response from Van City.  They are
willing to deposit cheques under more than one name
(i.e. both WCSFA and BCSFA), and do electronic deposits
by interbranch banking.  However, Van City does not
handle VISA.  Ed was asked to look into changing the
signing officers on the BCSFA account and using it for
WCSFA, then we'll close the Royal Bank account.

That the Treasurer investigate consolidating our bank
accounts with Van City and maintain the existing
VISA account.

                        Ed was also directed to look into the status of the CIBC
accounts and find out who are signing officers.

Fictons            Lisa announced that copying costs for the last issue            Lisa, Ed
of Fictons were $142.40.  It was agreed that she will
be reimbursed when she gets the invoice from
Murphy's in a month or so.

BCSFAzine            Our 'sweetheart' deal with First Impressions Printing
ended when the company was sold yet again and our
printing costs will therefore approximately triple.  Clint
had quotes from other printers and options were
discussed including copying the zine on the club copier,
and reducing the publication frequency  It was agreed that              Graeme
Graeme should simply go to the lowest quoted printer
and get it done (including folding, collating, and stapling).

                        Graeme worked out the per paying member per issue cost
of BCSFAzine at $1.55 (before printing costs went up).
Costs will rise to about $2, which is higher than the
membership revenue, when other expenses are considered.
It was agreed that we need to look at increasing our number
of paid memberships and doing fundraising to cover
increasing costs, rather than cut back on services to
members.  We are trying to make the club more attractive,
not less.

                        It was suggested that the Treasurer periodically phone            Ed
around and get quotes on copying prices since these
vary greatly and tend to fluctuate.

Events            Lisa announced:
  •  Nov. 20 - Mars show at Planetarium, dinner
  •  Nov. 29 - Viewing of eclipse of moon
  •  Dec. 11 - Trip to Science World
  •  Dec. 18 - Christmas party at the Wilsons'
                        Alexis is sending out PSAs to cable stations and local
papers.  Also, the Writers workshop has been expanded
to two groups and is very active. 

                        Tenative arrangements were made for a field trip to see
holograms being produced (Jan.) and an SF Murder
Mystery dinner (Feb.).

                        Clint volunteered to phone around and see if anyone            Clint
is interested in organizing a relaxicon for February
or late April.

Phoning            It was agreed that we should do a phone around of            Graeme
Committee            members to publicize upcoming events and encourage
them to bring new people.  The committee agreed on the
importance of setting up a permanent phone committee. 
Graeme agreed to coordinate this phone around, though
making permanent arrangements will be Alexis's job.

                        The meeting was adjourned at 12:10.  All executive
members greatly appreciated the tea, coffee, and fresh-
baked biscuits kindly provided by Lisa and Karen.
